Plans, seats and usage

Subscription in the sidebar shows every product you have, what it includes, and what you have used this period. How each product is charged - AI Scribe is charged per clinician seat. A seat is a person who records visits. Plans differ in the number of sessions included, the features available, and whether you pay monthly or annually. - AI Frontdesk is charged per plan plus call minutes, with an allowance included and per-minute usage beyond it, and texts counted separately. Monthly minutes on the subscription screen shows where you are. - Fax numbers are a per-number add-on. - Claims, Benefit Verification and Prior Auth are priced per practice — talk to us. Prices and current plan contents are on the Subscription screen and on healos.ai; we deliberately do not repeat numbers here that can go out of date. Seats A purchased seat has to be assigned to a person before they can use the product. If you see "All purchased seats are assigned — revoke one or add a seat", either free one up or add one. Revoking a seat leaves everything that person created untouched. Free plan and limits The free tier of AI Scribe has a monthly session cap. When you hit it you see Session Limit Reached and an Upgrade Plan button; a clinician on a practice account should ask their admin rather than upgrading separately. Changing plan Change plan upgrades immediately with a prorated charge — the confirmation tells you the amount before you agree. A downgrade takes effect at renewal, so you keep what you have paid for until then. Access until on the card is the date your current access runs to. Trials A trial gives the product in full for a fixed window. When it ends you either choose a plan or continue limited; the screen offers both, and nothing you created during the trial is deleted when it expires. If the billing screen cannot load, it usually means the session went stale — reload once. If it persists, tell us and we will check the subscription from our side.

Invoices, receipts and payment methods

Invoices and receipts Subscription → Billing and Invoices lists every invoice with its amount and status, and each one downloads as a PDF for your records. Receipts also arrive by email to the billing address on the account. Changing the card or the billing details Open the Billing portal from the subscription screen. That is where you update the card, the billing email and the address that appears on the invoice. A card that expired mid-period is the usual cause of a failed renewal — update it and the charge retries. Who can see billing Billing is practice-level. A clinician on the account sees their own usage but not the payment method. If you need someone else to handle invoices, make them a practice admin. A charge you do not recognise Look first at the invoice PDF: it itemises the plan, the seats, minutes over the allowance, texts, and any fax numbers. Usage above the plan allowance is the most common surprise, and the subscription screen shows the same figures for the current period. If the invoice still does not explain it, write to us with the invoice number and the amount. We can see exactly what generated each line. Cancelling Ask support, or cancel from the billing portal where your plan allows it. Cancellation takes effect at the end of the paid period — you keep access until the Access until date. Tell us if you need your data exported before then; notes, transcripts and call records can be provided, and the export is easier to do while the account is still active.
